The tool matters less than what you connect and where you keep a human in the loop. Most teams this size already own everything they need. What they're missing is the wiring between the tools and a clear picture of which steps should stay manual on purpose.

The framing you'll hear most is: choose Zapier, or Make, or n8n, connect a few apps, done. That works when you're a 3-person startup automating one lead form. It falls apart around 20 people.
By then you have five to ten tools that don't agree on what a customer record looks like. Your invoicing software wants one date format, your spreadsheet has another, and someone in the office is quietly retyping numbers between them every afternoon. No template fixes that. The fix is design work: mapping what actually happens, deciding what data moves where, and building the transform steps in between.
So the real decision isn't "which app." It's "am I buying a self-serve tool and doing the design myself, or am I getting the design done and the plumbing built to match what I already run." There are broadly three paths, and each fits a different situation.
DIY no-code tools (Zapier, Make). You build it yourself with clicks. Good for simple, low-stakes automations where a broken run just means someone redoes a task. Rip-and-replace suites. An all-in-one platform that promises to run your whole operation if you migrate onto it. On paper it's clean. In practice you're moving a 40-person team off tools they know, retraining everyone, and rebuilding history, all to solve an admin problem. We don't recommend this and we don't do migrations onto new software unless there's a genuinely broken tool in the stack. The cost and disruption almost never pay back.

- Then, and only then, pick the wiring. For most teams this size, that's orchestration on your existing stack, not a new platform to learn.
The tool question answers itself once you've done the mapping. Skip the mapping and any tool will disappoint you.
